Tell the Audience

The old adage of telling them what you are going to tell them, telling them, and then telling them what you just told them stands the test of time and is critical in delivering a memorable speech. Telling the audience something that goes over their head or won’t be remembered can be a waste of time and energy for everyone involved. Make sure that the intended key points stick with the audience so that they spring into action or retain your message far after the presentation. When structuring the speech, repeat the message throughout the work, including in the introduction, body, and conclusion.

However, repeating messages is not the only tool. You can use creative means, such as props, to keep the audience’s attention; ask open-ended questions of the audience to repeat back key messages; or have the group write it down. However, in all of these examples we are assuming that the message stuck. Another adage never assume also stands strong. Reiterate points you want them to walk away with in a clearly laid-out manner to ensure that the audience gets exactly what you want them to get. Audiences interpret what was told to them in many ways. When you restate the key points in an organized and summarized manner, you have a better chance that they will sink in at a deeper level.

I learned a valuable lesson by hiding a speech from my wife. It was not the lesson you might be thinking of if you thought that withholding it was what got me in trouble with her. I had a five-hour drive coming home from a Toastmasters convention. I was inspired and had ideas racing though my head. I actually sent myself voicemails to ensure the ideas were not forgotten. I came up with a humorous speech called, “The Wife Coach.”

I told my wife about the events leading up to the concept but held off on sharing the full speech because I wasn’t sure if it was ready yet. I obviously wanted to get some laughs, but not at her expense, so I had to be delicate in my writing. I actually put it away for about six months. I brought it on vacation in the summer to begin work on it again, and shared it with close friends. They saw the humor but made some suggestions. What was interesting is that what I thought was hilarious when first written, didn’t quite hit as hard after I gave it time to settle. I made new revisions with my close friends, and finally my wife, and again received critical feedback. The valuable lesson of letting the speech breathe allowed me to bring a much stronger version to the Division B Toastmasters finals (for the state of Maine and parts of New Hampshire). I had roaring laughter at some parts, enough to lead to my first paid speaking engagement.

Spell check doesn’t count as editing—just ask any manger [sic] or, on
one of my résumé examples, where I wrote business singular when
I meant it to be plural businesses. There are some techniques to tighten
up the process, which include waiting until the day after writing to
proofread, printing something out, reading it backward, and reading it
aloud. What you must remember is that your mind substitutes missing
and wrong letters and words naturally for you. As much as we may convince
ourselves that we can do it on our own, you should not proofread

If you have a significant amount of expertise in a certain field, there are plenty of opportunities to contract and consult. There are pros and cons. The consultant or independent contractor is typically paid better, because companies don’t have the extra expense of health benefit costs and they have a clear ending deadline, paying only for actual work being done. For both parties, it can become a trial for potential full-time work. On the downside, as a contractor, you must always be concerned with the length of your contract, and try to stay ahead of when the next potential contract may come. Additionally, contractors often put in a lot of work in a condensed period of time. However, you get higher pay and have an independent and entrepreneurial approach to getting the work done. At the very least, it can bridge the gap between full-time jobs. It is worth an individual assessment to see if it can work for you.

Without shoving my résumé and marketing plan down everyone’s
throat, I wasn’t shy about including it in emails and handing it
out as much as possible—when it made sense. In addition to attaching it
to every networking invitation, I made it part of my daily routine to create
an online profile with companies I was interested in, and also uploaded
it to career-assistance websites. These types of opportunities surround
us if we look hard enough. For example, I found a strong information
source with Career Management Associates. CMA is an HR consulting
firm for Northern New England (www.cmacareer.com). Although more
jobs will come from networking connections, there are opportunities locally,
regionally, and nationally where companies and recruiters actively
scan these types of websites. What could it hurt?

Another reason for getting the résumé out there is an objective opinion.
Being unemployed had me staring at my résumé for what seemed
like hours each day. As your résumé is being circulated, people will inevitably
provide unsolicited advice (or solicited if we’re smart enough to
ask). Some of the better pieces of feedback came from these objective
observers. A second set of eyes can also pick up on any typos. If you are
adjusting the résumé along the way—as you should in order to target
positions with your competencies—you may miss a crucial edit. What
always seems like a simple, quick change has a tendency to go unnoticed
until the most inopportune time.

Effective listening skills will get you far in the interviewing process.
Interviewing is a two-way dialog, not just a question and answer
session. The discussion goes both ways. However, many times candidates
feel the need to talk as much about themselves as possible, as quickly as
possible, in order to make sure they fit everything within the interview
timeframe. It’s good to be able to confidently talk about yourself (e.g.,
“It’s Not Bragging if It’s a Fact”), but the overall quantity must be carefully
thought out. Unfortunately, I fell into this trap in one of my interviews.

In doing my homework for a position, I learned that the hiring manager
was concerned that, although I was a leader of many tasks specific
to the role for which I was interviewing, she wanted examples of when
I’d rolled up my sleeves and actually done the job. I was prepared with
multiple examples, and tried to find a way to include them all—and I
mean all. I needed to better listen to the questions, stay succinct, and remain
on task with my answers. I overwhelmed the interviewer and spent
most of the time talking, and in my own view, unfairly dominating the
discussion. The interviewer most likely felt that she’d lost control of the
interview, that I wasn’t engaged, and that I was simply sticking to my
own agenda. Listening skills are critical to ensure that both parties get the
most out of the dialog. Ironically, I went back to my handwritten notes
and noticed insider information that I needed to remember: “(Hiring
manager) likes to talk.”

As an interviewer, I once sat back for twenty minutes and waited for
a candidate to finish answering the first question of the interview,
“Tell me a little bit about yourself professionally.” The answer was rambling
and meandered all around with no particular end in sight. I could
have stopped him, but part of the interview was to determine how effectively
an individual could communicate with others. When in an interview,
it’s important to provide an answer that has context to the question,
supported with a strong example, than a quick wrap up and conclusion.
Rambling creates questions in the interviewer’s mind about your overall
communication style, skills, and ability. You obviously don’t want oneword
responses, but you do want to use solid and supporting examples
using an economy of words.

As I teach in From Fear to Success: A Practical Public-speaking Guide,
there can never be too much practice and preparation, whether you are
doing mock interviews or practicing in front of a mirror using any one
of the thousands of “typical” interview questions you can find on the
Internet. It’s not about memorization—it’s about using an economy of
words that hits the interviewer between the eyes with an unforgettable
impact. Pull out a list of ten to twenty questions, write out your answers,
and practice speaking them. The self-assessment on whether you are babbling
or hitting the mark can make a huge difference in being invited
back for more interviews, or even offered the job.

As isolated as we may feel in this sea of angst, we have a support
system. The support can come from your immediate family, your
extended family, your old friends, new friends you meet along the way,
your social network, and your business network. It is not possible to do it
alone. As much as you may feel alone in the process, it is critical to lean
on the people around you for support, for a shoulder to cry on, for the
push you need but may not want. Your success is dependent on the people
around you. Statistically, the analysis will tell you that networking is
the main reason for successful job searches. Even for a little bit of sanity
during the process, you can use the people around you to help you think
more clearly or to be the wall to throw something at to see if it sticks. As
much as you may feel alone in the process, you are not—just ask my running
partner, Kevin. Okay, he’s not a person, he’s a dog, but the morning
jogs with him were just as much for clearing my head as they were for
physical wellness.

To use a sports analogy, if you run with a ball on your own
from point A to point B, it will take you longer than simply
kicking it or throwing it to another person already at point
B. We try to do too much on our own. Whether we want all the glory,
think we can do it better, or simply just want it done, there is value
in getting others involved. This chapter isn’t about dumping, or even
delegating. It’s about teamwork. Depending on your position, you may
still have to supervise, validate the work, or make sure it gets done, but
you should find opportunities to avoid doing everything on your own.

Think about the expertise you have surrounding you. Do you
have the right people working on the right tasks? Start to keep a
list of contacts with their specific expertise so that you can quickly
reference it. If you are part of a team effort, schedule time with your
peers or co-workers, particularly if you’re all depending on each other’s
contributions. The benefit of a routine get-together is that it allows
people to obtain consolidated information in one sitting as opposed to
communications going back and forth with “reply all” emails that can
take up valuable time.

It’s important to have a meaningful and added-value manner for
people to get updates. If it’s not a meeting, at least create a consistent
time each week for a progress summary with everyone’s contributions.
The goal is to create a routine in which people know when and where
updates and answers will be given, which reduces surprises and questions
like, “Where do we stand on project A?” If you do set up a progress
report email, be sensitive to the amount of time it’s taking everyone.
You want meaningful content, but not time wasted for emails that go
unread or administrative tasks that take away from actually completing
the real work.

Once a routine meeting or progress report is established, clearly
define roles and responsibilities. This will hold people, including you,
accountable to meeting the deadlines and keeping people informed
of status updates. Knowing who is doing what and when is a critical
component of time management.

When dealing in team situations, it’s also important to divide and
conquer. Not everyone needs to be at every meeting. Have someone
who attended the meeting provide an update and any key deliverables
to the collective group. Also, it’s important for you to schedule actual
work time for yourself and/or sub-group to ensure time is not all spent
in meetings relating to what is being asked of you. As for meetings
taking up all of your day, you have the right and obligation, whether
you are the organizer or not, to question when meetings have run
their course and are no longer valuable. Don’t have meetings to set up
meetings. Look to get rid of time-wasting tasks.

Understand the importance of working as a team. A group of
people can get more done in less time than one person if the process and
roles are managed well. It is obvious, but is not always done effectively.

The first time I can remember being called anal retentive, I debated
whether it was a good thing or a bad thing. According
to Memidex/WordNet Dictionary/Thesaurus, it is a person,
“who pays such attention to detail that the obsession becomes an annoyance
to others, potentially to the detriment of the anal-retentive
person. The term derives from Freudian psychoanalysis.” I guess a description
using words like psychoanalysis and obsession can’t always
be seen as good, but the term grew on me. The reference to anal retentive
was typically about making sure things got done. Nowhere in
the description does it mention the words time, organization, or time
management. Yet, when people say they don’t have time, they are really
saying they didn’t get done everything they wanted to get done. Now
is the time to do everything you want to do. This book may not create
obsessive anal-retentive monsters, but it will create methodologies to
help you pay attention to the right priorities.

Even at work when I was riding a rollercoaster of success that
included some interesting curves and downhill dives, I made the effort
to constantly hone my time management and organizational skills to
not only keep my nose above water, but to prove people wrong. When
I was demoted twice for being in the right place at the wrong time—
not being mature enough yet to manage the efforts of people—nobody
could say it wasn’t because the work wasn’t getting done. I ironically
found the maturity by sharing all of my mistakes with others!
I’ve taught versions of the time management information included
in this book for more than fifteen years. There are four points I want to
emphasize. First, the word secret is not found anywhere.
• There are no secrets to time management. Commitment, routine,
and a number of other factors will make you successful,
but there is no secret formula to time management. As you find
the balance that works for you, you will find success.
• Second, as attached as we may be to the latest and greatest technology
gadgets and applications that claim to make us more
efficient, they are only supporting tools to the process of time
management. In fact, many of them—including social media—
eat up large chunks of time before we even realize it. Your
ability to execute what you set out to do will not be magically
solved with a new smart phone.
• Third, your personal and professional lives are intertwined. You
may not think that you take your work home with you. You
may not even discuss it when you get home. However, you do
think about it. What do I have to do tomorrow? Was I supposed to
send that email? Did I ever get back to my boss? A dozen random
thoughts from your professional world worm their way into
the sanctity of your home life, regardless of how much you try
to keep them separate.
• Finally, for as long as I’ve shared my time management tips,
it has been rare that I’ve made significant changes to what
I’m teaching. It’s not because I haven’t evolved with time. I’ve
found that people over complicate the process, or find excuses
as opposed to solutions. Let’s oversimplify, instead.

I sleep very well. Most nights, I sleep more than the recommended
eight hours. I am refreshed and ready for each day. I balance my fulltime
job with my other business, while still making it to my children’s
piano recitals, field hockey games, school events, and so much more.
I mention this not to say, ‘look how much I can jam into a day.’ I
truly don’t feel like I jam anything into my days. I simply prepare for
all of them ahead of time. I own my twenty-four hours each day—I
don’t rent them. It’s up to me to determine how they are used. I’m accountable.
I must make decisions each day based on my priorities and
account for unexpected time by thinking forward and being flexible.
If there is such thing as a traditional forty-hour work week, I’m confident
enough to be able to say that I do more in it than most people do
in fifty, sixty, and even seventy hours. It’s time to work smarter—not
harder—and start taking back the twenty-four hours in your day to
actually get more done personally and professionally.
